No, VentionDesk works entirely without one. If you want an agent to help, you connect your own subscription – Claude or ChatGPT, for example – via MCP or the API. VentionDesk does not run its own AI model and charges nothing per agent. An agent key does not count as a user; you can have 2 on the Solo plan, 10 on the Team plan, and unlimited on the Enterprise plan.
Connect AI apps →Only what you allow the key to see. Reading tickets and replying to clients are separate permissions, off by default. A key can be limited to individual projects, and the database enforces these limits as well. Whatever an agent reads goes to its provider, such as Anthropic or OpenAI.
Claude and MCP →The first 14 days are free. When you sign up, you choose a plan and add a payment method with our payment provider Stripe; nothing is charged until the trial ends. Cancel before then and you pay nothing. If you skip the Stripe step, you can still try VentionDesk and subscribe later.
Terms, section 3 →In the software under Settings › Subscription. Depending on how you pay, the subscription runs for a month or a year and renews unless you cancel before the end of the period. Until then, you can also withdraw the cancellation there.
Terms, section 6 →Yes, in both directions, as long as your business fits within the limits of the new plan: as the owner under Settings › Subscription, and the number of seats too. A change takes effect immediately; the difference for the current billing period is prorated on the next invoice.
Terms, section 4 →Invoices are created as PDFs with the mandatory details under § 14 UStG, from a gap-free numbering sequence, with cancellation instead of deletion and an annual export with CSV files and all receipts as PDF for your tax adviser. Only you finalise an invoice, never an agent. The structured e-invoice (EN 16931, e.g. ZUGFeRD) is not built in yet: in Germany, issuing one for invoices to domestic businesses becomes mandatory from 2027 if your previous year's turnover exceeded EUR 800,000, and from 2028 for everyone.
Finances in the docs →At any time: under Settings › Subscription, the owner downloads a ZIP with all business data as JSON and every file in its original format, as often as they like. For your tax adviser there is also an annual export with CSV files and all receipts as PDF. After the contract ends, the export remains available for 30 days; then the data is deleted.
How the export is structured →Code: GitHub. Hosting: Vercel, Render, Netlify, Cloudflare Pages, AWS Amplify, Railway, Fly.io, DigitalOcean App Platform. Mail: Postmark, Mailgun, Amazon SES, Resend. Errors: Sentry, Bugsnag, Rollbar. Payment: Stripe. Tickets arrive by email, from the contact form on a client’s website, from a web app with a screenshot and from servers via the API.
Integrations →Database, files and sign-in run on Supabase in Frankfurt am Main, the API and background services on Render in Frankfurt, and the website is delivered by Vercel with server functions in Frankfurt. Some services, such as email delivery, also process data outside the EU; which ones, and on what legal basis, is set out in full in the privacy policy.
Privacy policy →Consumers: VentionDesk is exclusively for businesses. And small businesses using the German small-business VAT exemption (§ 19 UStG): invoices carry 19 % or 7 % VAT, 0 % only as a reverse charge to other EU countries; VentionDesk does not support the small-business scheme.
