Connect SMTP

This business’s emails go out through your own SMTP server — with no quota at VentionDesk.

Where to connect

In VentionDesk under Settings › Email, section Own SMTP server — not under “Add connector”. Only the owner can enter, change and remove it.

Step by step

  1. Take the SMTP credentials of your email provider or mailbox (often under “SMTP”, “SMTP relay” or “app password”): server, port, username and password. For Resend, for example: smtp.resend.com, port 465, user “resend” and an API key as the password.
  2. The sender address must be on a domain your provider has verified for sending (SPF and DKIM, ideally DMARC as well) — otherwise your emails land in spam or are rejected.
  3. Port 465 encrypts from the first byte (TLS), port 587 uses STARTTLS — both only with a valid certificate. VentionDesk does not accept port 25. When saving, VentionDesk signs in once with your details; no email is sent — use “Send test email” for that.
  4. The minimum interval is off by default (0). If you enter seconds, it keeps emails to the same address apart, as in Supabase — at most 3600. A second email that comes too early is then not sent, and VentionDesk tells you when it can go.
  5. Your customers’ replies still go to your VentionDesk mailbox (Reply-To) and land in the ticket. Bounces and complaints are only visible in your account with the provider — VentionDesk learns nothing about them. If sending fails, the reason is shown on this connection and the email counts as not sent; VentionDesk never silently falls back to another sender.

What the dialog asks for

FieldEntryWhere from
Sender addressRequiredThe address your emails come from, e.g. invoice@your-domain.com — on the domain you verified with the provider. VentionDesk takes the name in front of it from the connection’s sender name, otherwise from “Settings › Email sender”.
Sender nameoptionalOptional. Appears before the address, e.g. “Example Ltd”. Leave empty to use the name from “Settings › Email sender”.
ServerRequiredYour provider’s SMTP server, e.g. smtp.resend.com or smtp.office365.com — without smtp:// and without a port.
PortRequired465 (TLS) or 587 (STARTTLS). Port 25 is meant for delivery between servers and is not accepted.
UsernameRequiredUsually the mailbox address or a provider-specific name (for Resend: resend).
PasswordRequired | secretPassword, app password or API key. It is stored encrypted in the vault and never shown again.
Minimum interval per recipient (seconds)optionalEmpty or 0: off. At most 3600.

VentionDesk stores secret entries encrypted and never shows them again. They are only saved once the provider confirms the access; if you edit a connection and leave a secret field empty, the previous value is kept.
