Chapter: Time tracking

User guide

Time tracking

You track time where you are working right now: with the timer in the header bar, in the project or afterwards. There is no separate “Time” page.

The timer

In the header bar: “▶ Start”, then Project (also “without project”) and What are you working on? While the timer runs, the header bar shows the time; “■ Stop & record” creates a time entry. Under one minute, none is created.

In the project: the same timer is in the header of the project page. If it is currently running for another project, VentionDesk offers “▶ Record there & start here” — there is always only one running timer per person.

The timer runs on the server: you can close the window or switch devices, and the time keeps running.

Adding time afterwards

For the forgotten hour: “+ New” › Time entry (key z), “+ Add time” on the overview or “Add time” in the project’s “Time” tab. Fields: What for, Project, Day, Duration, Ticket and the switch internal / billable.

Editing entries

The “Time” tab of the project page lists all entries of the project with hours per week and distribution — grouped by calendar week, with the week’s total in the heading; the date is in every row after project and customer. Per entry: “Shorter” / “Longer”, “Keep running”, “Edit” and “Delete”. A click on the pill switches between billable and internal — locked as soon as the entry is on an invoice. You reach time without a project via the overview (“Without project →”).

An agent key with time:read reads the entries of its projects — day, duration, description, billable and billed yes/no and who recorded them. It does not see hourly rates and amounts, and it cannot record or change any time.

From time to invoice

Billable hours not yet invoiced are under Finances › Invoices › “Unbilled per project” (owner only). “Bill” or “Bill from hours” turns every entry into its own line item — see Finances. This requires an hourly rate in the customer record.
